Privacy Policy

Splennet ("we", "us", or "the Platform") is a user-generated content (UGC) marketplace that connects verified student creators with brands. This Privacy Policy explains how we collect, use, disclose, and safeguard your personal information when you use Splennet, including our website, web application, and related services (collectively, the "Service"). Please read this policy carefully. If you do not agree with its terms, please discontinue use of the Service.

1 Information We Collect

1.1 Account Registration Data. When you register, we collect your full name, email address, password (stored as a cryptographic hash), and account type (Brand or Creator).

1.2 Profile Information. Creators may optionally provide a profile photo, bio, social media handles, niche categories, content specialities, and video samples. Brands may provide a company name, logo, website URL, industry category, and business description.

1.3 Student Verification Documents. Creators are required to submit a valid student identification document (student ID card, enrollment letter, or equivalent) to verify their student status. These documents are reviewed by Splennet administrators and are not shared with brands or third parties.

1.4 Campaign & Content Data. We collect information related to campaigns, contests, UGC orders, job applications, submitted content (video links, performance data, captions), and communication exchanged on the platform.

1.5 Financial Information. We collect payment-related details including wallet top-up records, transaction amounts, payout requests, and payment references. We do not store raw credit/debit card numbers. Payment processing is facilitated by third-party payment providers; their privacy policies govern the processing of card data.

1.6 Usage & Technical Data. We automatically collect log data including your IP address, browser type, device type, operating system, pages visited, referral URLs, session duration, and platform interactions. This information is collected via server logs and browser-standard technologies.

1.7 Communications. If you contact our support team or send messages to other users through our in-app messaging system, those communications may be stored and reviewed to provide support, enforce our policies, and resolve disputes.

2 How We Use Your Information

We use the information we collect to:

  • Create and manage your account and profile;
  • Facilitate connections between brands and creators for campaigns, contests, and UGC orders;
  • Verify student status and maintain platform integrity;
  • Process wallet transactions, escrow payments, and creator payouts;
  • Calculate and distribute CPM-based performance earnings;
  • Send transactional notifications (application updates, job status, payment confirmations);
  • Deliver platform announcements and product updates (you may opt out of marketing communications at any time);
  • Provide customer support and resolve disputes;
  • Detect and prevent fraud, abuse, or violations of our Terms of Use;
  • Analyze platform usage to improve our features and user experience;
  • Comply with applicable laws, regulations, and legal obligations.

3 Information Sharing & Disclosure

3.1 Between Users. When a creator applies to a campaign, their profile, portfolio samples, and application note become visible to the brand that posted the campaign. When a brand creates a campaign or contest, their brand name and brief details are visible to all creators on the platform. Neither party's contact details (email, phone) are shared directly through the platform — all communication happens through the Splennet messaging system.

3.2 Service Providers. We share data with vetted third-party providers that help us operate the Service, including hosting providers, payment processors, and analytics tools. These providers are contractually bound to process data only as directed by us and in accordance with this Privacy Policy.

3.3 Legal Requirements. We may disclose your information where required by law, court order, governmental authority, or when we reasonably believe disclosure is necessary to protect the rights, property, or safety of Splennet, our users, or the public.

3.4 Business Transfers. If Splennet is involved in a merger, acquisition, or sale of all or part of its assets, your information may be transferred as part of that transaction. We will notify you before your personal data is transferred and becomes subject to a different privacy policy.

3.5 No Sale of Data. We do not sell, rent, or trade your personal information to third parties for their marketing purposes.

4 Cookies & Tracking Technologies

4.1 Session Cookies. We use PHP session cookies to keep you logged in while you navigate the platform. These are essential cookies required for the Service to function and cannot be disabled.

4.2 Preference Cookies. We store your dark/light mode preference in your browser's localStorage to preserve your display settings across visits.

4.3 Analytics. We may use server-side logging to analyze platform usage patterns. We do not currently use third-party tracking scripts such as Google Analytics. If this changes, we will update this policy and provide appropriate disclosure.

4.4 Third-Party Links. Our platform may contain links to external websites. Once you leave Splennet, we are not responsible for the privacy practices of third-party sites. We encourage you to review the privacy policies of any external sites you visit.

5 Data Retention

We retain your personal information for as long as your account is active or as needed to provide you with the Service. Specifically:

  • Account data is retained for the duration of your account and for up to 2 years after account closure for audit and dispute resolution purposes.
  • Financial transaction records are retained for a minimum of 7 years to comply with applicable financial regulations.
  • Student verification documents are retained for 12 months after verification and then securely deleted, unless a dispute or legal hold requires longer retention.
  • Support communications are retained for 3 years for quality assurance and dispute resolution.

When retention periods expire, we securely delete or anonymize the relevant data.

6 Data Security

We implement reasonable technical and organizational measures to protect your information, including:

  • Password hashing using industry-standard algorithms (bcrypt);
  • HTTPS/TLS encryption for all data in transit;
  • Role-based access controls ensuring users can only access data appropriate to their account type;
  • Parameterized SQL queries to prevent unauthorized database access;
  • Administrative review processes for sensitive actions (payouts, verification approvals).

No method of transmission or storage is 100% secure. While we strive to protect your personal information, we cannot guarantee absolute security. In the event of a data breach that is likely to result in a risk to your rights, we will notify affected users in accordance with applicable law.

7 Your Rights & Choices

Depending on your jurisdiction, you may have the following rights regarding your personal information:

  • Access: Request a copy of the personal data we hold about you.
  • Correction: Request correction of inaccurate or incomplete data. You can update most profile information directly from your account settings.
  • Deletion: Request deletion of your account and associated personal data, subject to legal retention requirements and outstanding obligations (e.g., pending payments).
  • Portability: Request a copy of your data in a commonly used, machine-readable format.
  • Objection / Restriction: Object to or request restriction of certain processing activities.
  • Opt-out of Marketing: Opt out of non-essential communications at any time by contacting us (transactional notifications cannot be disabled while your account is active).

8 Children's Privacy

The Service is not directed to children under the age of 16. Splennet requires creators to be enrolled students at a recognized institution, which inherently requires users to be at or above the age of majority in their jurisdiction. We do not knowingly collect personal information from anyone under 16. If we become aware that a child under 16 has provided us with personal information, we will delete it immediately. 9 International Data Transfers

Splennet is operated from Ghana and primarily serves users in Africa. Your information may be processed on servers located in different countries. By using the Service, you consent to the transfer of your information to countries which may have different data protection rules than your country. We take reasonable steps to ensure that any such transfers comply with applicable privacy laws.

10 Changes to This Policy

We may update this Privacy Policy from time to time. When we do, we will revise the "Last updated" date at the top of this page and, for material changes, notify you via email or an in-app notification. Your continued use of the Service after any change becomes effective constitutes your acceptance of the new policy. We encourage you to review this policy periodically.
